HRLocker Pricing Plans and Features
HRLocker provides different plans to help businesses of all sizes streamline their HR processes. Let’s explore what each package offers and how it can support your business needs:
1. Essentials Plan (Core HR for Growing Teams)
Cost: €4 per user per month or €40 per user per year if billed annually
As your company grows, your HR needs expand too. The Essentials Plan includes everything from the Freemium Plan and adds the following features:
- Employee details and HRIS database
- Holiday/Sickness management
- HR Docs and digital signatures
- Employee self-service
- Project times and reporting
- Dashboard

Ideal for: Small to medium-sized businesses that need more structured HR processes and personalized support.
2. Professional Plan (Advanced HR for Hybrid/Remote Teams)
Cost: €6 per user per month or €60 per user per year if billed annually
Everything in HR Essentials, plus:
- Single Sign On
- Clock in and out
- CPD
- Pension opt-in
- Right to work
- Background check
- Reviews
- Project Management
4. Premium Plan (Comprehensive HR for Large Enterprises)
Cost: €15 per user per month or €150 per user per year if billed annually
Everything in HR Professional, plus:
- Preliminary payroll
- Data warehouse
- Active directory
- AI chatbot
- 3 job slots on ATS
Add-Ons
Extra Admins Cost
HRLocker offers 2 admins for all packages included in the subscription. This increases by 1 free admin for every additional 100 licensed users. If you would like to purchase additional admin slots, there is a fixed cost of €300 per year for each additional admin
If you do not want to grant full admin access to a user, consider granting them more limited manager permissions. Given the sensitive nature of HR Information, it is best to limit admin access only to those who have a need to access this data for all employees in your company.
To request additional admin licenses, send an email to customersuccess@hrlocker.com and we will add this and send the invoice to your finance team.
Data Warehousing Cost
HRLocker offers read only copies of your production database hosted in a secure Microsoft Azure SQL Server in the EU.
This allows you to import your data from Microsoft Azure into 3rd party applications such as Tableau and PowerBi and to use Microsoft's widespread suite of power apps to integrate with other platforms.
The cost for this is €1000 per year for maintenance and we will require that you provide us a dedicated IP address so we can add this to our whitelist for access to the server.
Admin Training Cost
If you require additional training for new admins or refresher training for your managers or admins, HRLocker can arrange this, the cost is €300 per 2 hour session to be held remotely.

Deployments and Uploads Costs
HRLocker can assist you with bulk uploads and bulk edits to your employee settings or data.
There is usually a charge for this, but no set cost for as it depends on the complexity of the request. Talk to a support agent and we will work out the best solution for you based on your needs
Custom Integrations
HRLocker does not have an open API. Custom integrations are complex and would require bespoke development and would be a project that requires buy in from all of the stakeholders, HRLocker, the client and from the 3rd party application that we want to integrate with. Often the reason why integrations fail, is that one party is not prepared to do spend the time and resources to complete the integration.
The cost for a custom integration is highly variable and you would need to have a discovery call with a member of the HRLocker Technology Team to discuss if it's something we can do, and how much time and cost would be involved.
Tablets Cost
HRLocker can supply tablets at a cost of €800 euros each including a wall mount.
This will include sale and configuration of the Tablet with HRLocker's app and a kiosk mode that allows us to maintain the tablet remotely and update it as needed.
These can only be supplied within the EU. Tablets cannot be shipped to the UK due to customs and export costs
The HRLocker Tablet app will work on most Android tablets that run a standard Android Operating system (eg, it will not work on Amazon Fire devices as these are modified Android Operating systems) So you can purchase your own tablet and mount and contact us to configure those to run the app and kiosk mode)
The App will not run on any Apple device
The App will not run on heavily modified tablets
The app needs to run in Kiosk Mode, so cannot usually be used alongside other apps, but if you are prepared to maintain your own kiosk software you can configure them to work this way.
There is an additional cost of 50c per month per user for access to the HRLocker clockin tablet app. This covers support, updates to the app and includes access to the surelock MDM for each device
Payroll cost
HRLocker offers payroll reporting which can assist with generating the data needed for payroll each month.
In order to access these reports you need to be on the Premium package or above.
Payroll reporting is complex and there are many settings that need to be correctly configured in order to map your payroll software to your costs and payable hours in HRLocker, so before we enable payroll integration we usually require some deployment calls and there may be some costs associated with this. Cost per user for each package
The cost for additional licenses is based on your package. These prices are subject to change and are based on paying Annually. There is a 20% increase if you wish to pay monthly. These prices do not include VAT.
If you're on Essentials, the cost is €4 per month per employee
If you're on Professional, the cost is €6 per month per employee
If you're on Professional, the cost is €15 per month per employee
