Admin/manager of the directory
Overview
As a manager or admin, the Directory feature in HRLocker allows you to access, update, and manage employee information efficiently. You can also assign roles, view and assign work patterns, and manage leave allocations. This guide will walk you through how to use the Directory to manage your team effectively.
Accessing the Directory
-
Log in to HRLocker:
- Use your administrator or manager credentials to log in to the HRLocker system.
-
Navigate to the Directory:
- Click on the Directory section to access the list of all employees.
-
Search and Filter:
- Use the search bar or filter options to locate employees by name, department, or office. This helps you find specific employees quickly, even in large organizations.
Managing Employee Profiles

Viewing and Editing Employee Information:
- Click on an employee’s name to access their profile. From here, you can view their personal and employment details such as contact information, job title, and work pattern.

-
Assigning Roles and Responsibilities:
- In the "Reports to" field, assign the employee’s direct manager.
- You can also assign roles like Leave Approver, Timesheet Approver, or CPD Validator. These roles give managers the ability to oversee key processes for their direct reports.
Assigning Manager Access
-
Defining Manager Access Scope:
- Admins can assign different levels of access to managers based on their roles.
- Access can be set to Subordinates and Selected Employees Only, or it can be broadened to include Selected Offices and direct reports.
-
Setting Permissions:
- You can give managers specific permissions to manage areas like Time On, Time Off, Reports, HRDocs, Directory, and CPD.
Best Practices for Managers/Admins
- Ensure Accurate Records: Regularly review employee details to ensure that contact information, roles, and leave balances are up-to-date.
- Role Assignment: Ensure that managers within the organization have the right access and permissions to manage their teams efficiently.
