How To Restrict Leave Requests by Team

A simple way to ensure that too many people don't take leave at the same time

HRLocker now allows you to use the 'team' function to set a maximum number of employees who can take leave at the same time. To do this, you need to be a manager or admin with settings permission enabled

How to set it up?

Log into HRLocker as an Admin or Manager.

Click on settings on the black ribbon.

Click on the teams button on the left menu.

Here you can either create new teams, or edit an existing team.

Click on the add button or the edit button next to one of your teams.

In here, you can tick the box to limit the number of simultaneous leave requests and enter in how many employees can be on leave at the same time.

You can do this per team so you can have a different limit depending on what staffing levels you need. 

Employees can also be in multiple teams, so you can create layers for employees that do multiple roles. 

To assign an employee to a team, click on their name in the directory and in their summary page, scroll down to the 'teams' button, and tick the box for each team they are in.

If you want to remove an employee from a team, simply untick that box

What happens when the employee tries to book leave?

For example, If an employee is in a team where leave is restricted to a maximum of 2 simultaneous  employees. 

If fewer than 2 employees have a leave request for this period, the leave will be processed as normal

If 2 or more employees on that team have a leave request for that period, the employee will see an error message to say there are too many members of the team already on leave

If the employee has special circumstances and needs the leave to be approved, they can contact their manager or a HRLocker Admin who can request the leave on their behalf.

If the manager tries to book the leave, a popup will appear.

If the manager clicks confirm, the leave will be approved, otherwise it will be cancelled

This change will only apply once the setting is enabled. Changing the setting will not affect any existing leave requests.
