How to download and interpret the 7 Day Timesheet and Projects report

Why did we build this report?

This report is intended to combine information from timesheets, projects, work patterns and leave into a single place to save time make analysing this data easier.

We have also constructed the report to give the data in a consistent format. Every employee will always have 8 lines in the report for each week, so it is now easy to see if an employee has missing times on the timesheet, or if they worked on a day that they don't normally work on. And if you need to perform any operations on the report, it is easier to generate templates when the data is consistent from week to week.

All timesheets are included, even those in unsubmitted status, however for these timesheets, we did populate those times as they are not reliable until they have been at least submitted for approval. Project hours are included even for unsubmitted timesheets but we would recommend waiting until timesheets are approved before using the report for payroll or billing purposes.

We have added the ability to report on employees who are on call. You can activate the on call option for each employee by enabling it in their settings page in the Directory.

How to download this report.

In order to access this report, you need to be either a Manager with reports access, or an Administrator on HRLocker.

To download the report, go to the reports button on the black ribbon, and click on 'Time On' on the sub menu and  select Downloads.

Employee ID  - This is the Company Employee ID from the employee's summary page
Payroll ID  - If Payroll reporting is enabled, this can be entered in the Employee's summary page
First Name  - Employees' first name
Last Name  - Employees' Surname
Office  - Employee's office name
Department  - Employee's department name
Teams  - List of teams the employee is a member of
Timesheet Approver  - The employee's Timesheet Approver
Timesheet Status   - The Status of the timesheet. If the status is 'Unsubmitted' the times will not show on the timesheet, but project hours will
Week Number  - This is the ISO standard week number for this week
Day  - Day of the Month
Month  - Month of the Year
Year  - Year
Date  - Full Date for each day
Day of Week  - Day of the week (Monday to Sunday)
Start  - Start Time
Break  - Break Duration
End Time  - End Time
Is on Leave  - Yes if the employee has leave on this day
Is on Sick Leave  - Yes if the employee has Sick leave on this day
Hours Worked  - The Total hours for this day in HH:MM fomat - Break duration is removed
On Call?  - For each day the employee is on call, a 1 will be populated here
Notes  - Here are the daily notes from the timesheet
Contracted Hours  - This is the contracted hours figure from the employees' Terms of Employment screen
Working Day (in hours)  - This is the working hours from the employee's work pattern for each day
Hours Worked in Decimal  - This is the total working hours converted to decimal format
Project 1  - The hours reported against this project for this day. Any project that has hours recorded within the range of this report will be included.
Project 2  - The hours reported against this project for this day. Any project that has hours recorded within the range of this report will be included.
Project 3  - The hours reported against this project for this day. Any project that has hours recorded within the range of this report will be included.
