How to download and interpret the 7 Day Timesheet and Projects report

This report consolidates data from timesheets, projects, work patterns, and leave into one streamlined format. The goal is to save time and make analysing employee data more efficient and consistent. By combining this information, managers and administrators can quickly identify patterns, discrepancies, and overall performance without having to navigate multiple reports.


Key Features and Benefits

  1. Consistent Format:

    • Every employee will have exactly 8 lines of data per week in the report. This consistency makes it easier to spot:
      • Missing timesheet entries.
      • Days worked outside the employee's regular work pattern.
    • With a uniform structure, generating report templates and performing data operations (such as analysis and payroll calculations) is much easier from week to week.
  2. All Timesheets Included:

    • Approved, submitted and unsubmitted timesheets are included in the report.
    • For unsubmitted timesheets, time data will not be populated as it's unreliable until submitted for approval.
    • However, project hours are still included even for unsubmitted timesheets, although we recommend using approved timesheets for payroll or billing purposes to ensure accuracy.
  3. On-Call Tracking:

    • We've introduced a feature to report on employees who are on call. This can be activated for individual employees in their settings within the Directory.
    • On-call days are marked clearly within the report, making it easy to track and manage on-call time.

How to Download the Report

To download the report, you must either be a Manager with reports access or an Administrator in HRLocker.

  1. Log in to HRLocker.
  2. Navigate to Reports and click on Time On.
  3. Select Downloads to access the available report options.

Data Fields in the Report

Here is a breakdown of the fields included in the report:

  • Employee ID: The company-specific Employee ID from the employee's summary page.
  • Payroll ID: If payroll reporting is enabled, this can be entered in the employee's summary page.
  • First Name: Employee's first name.
  • Last Name: Employee's surname.
  • Office: The name of the office where the employee is assigned.
  • Department: The employee's department.
  • Teams: The teams the employee is a member of.
  • Timesheet Approver: The designated approver for the employee's timesheet.
  • Timesheet Status: The current status of the timesheet (e.g., Submitted, Unsubmitted). Times will not appear for unsubmitted timesheets, but project hours will be included.
  • Week Number: ISO standard week number.
  • Day: The day of the month.
  • Month: The month of the year.
  • Year: The year.
  • Date: The full date for each day.
  • Day of Week: The day of the week (Monday to Sunday).
  • Start Time: Start time for the day.
  • Break: Duration of any breaks taken during the day.
  • End Time: End time for the day.
  • Is on Leave: Yes/No if the employee is on leave for that day.
  • Is on Sick Leave: Yes/No if the employee is on sick leave for that day.
  • Hours Worked: The total hours worked for the day, displayed in HH
     
    format with the break duration removed.
  • On Call?: A "1" will populate for any day the employee is on call.
  • Notes: Daily notes from the timesheet.
  • Contracted Hours: Contracted hours from the employee's Terms of Employment.
  • Working Day (in hours): The working hours from the employee's work pattern.
  • Hours Worked in Decimal: The total hours worked converted into decimal format.
  • Project 1, 2, 3: Hours worked on specific projects, with each project displayed as a separate column for each day.
