Hire-Diversity and Inclusion monitoring when hiring in Northern Ireland

Diversity and Inclusion Monitoring for Northern Ireland in HRLocker and Hire

Under fair employment legislation, registered employers in Northern Ireland have a legal duty to monitor the composition of their workforce and of those applying to fill vacancies. The criteria are based on the size of the workforce. Generally, employers with 11 or more employees are subject to monitoring requirements. 

Registered employers are also required to make an annual monitoring return to the
ECNI.

To facilitate this process, when hiring in Northern Ireland, the applicant will be sent a Diversity Monitoring Form after applying. The information entered will be available in a report accessed in HRLocker.

When creating a job:

If you would like Diversity and Equality Monitoring when hiring in Northern Ireland please contact HRLocker Support

  • Select Northern Ireland from the dropdown menu of countries
  • Select one of the Standard Occupational Classifications from the dropdown menu

  • Any candidate who applies for this job gets sent a Diversity Monitoring Form.
  • This form has questions regarding
    • Community Background
    • Age
    • Sex
    • Marital/Civil Partnership Status
    • Racial Group
    • Dependents/Caring Responsibilities
    • Disability
  • The information filled out in the form can be accessed in a report found in HRLocker. The form will carry a unique identification number and only the assigned Monitoring Officer in HRLocker will be able to match this to the applicants name. 
  • When an applicant is hired, the information from the Monitoring Form will be entered into the Diversity section of the employee's directory.


There must be an onboarding office with Diversity Monitoring enabled for candidates hired from Hire

In HRLocker

To access Diversity and Equality Monitoring in HRLocker an Administrator must be selected to be a Monitoring Officer.

There can only be one Monitoring Officer. An admin can select another admin to be a Monitoring Officer.

If there is only one admin please contact HRLocker support to enable you to the Monitoring Officer.

The Monitoring Officer has access to the Diversity reports in the Employees Reports section
