Steps to Update an Employee to Manager in HRLocker

  • Access your HRLocker account with administrator credentials.
  • Select Directory to view the list of employees.
  • Locate and click on the profile of the employee you wish to update.
  • In the Summary tab, change the status in the "This User is" dropdown menu to "Manager."
  • Click "Submit" to save the changes, officially updating the employee's role to Manager.

Manager's New Responsibilities and Access

Once the role is updated, the employee assumes new managerial responsibilities and access rights:

  • The manager now appears in manager dropdowns for assignment as a manager to other employees.
  • Direct Manager: Designate the manager in the "Reports to" field in another employee’s directory, making them the direct manager.
  • Leave Approvals: Responsible for approving leave as listed in the "Holidays Approved by" section.
  • Timesheet Approver: Can approve or reject timesheets, as indicated in the "Timesheets approved by" section.
  • CPD Validator: Gains access to validate the employee's CPD records, noted in the "CPD Validated by" field.
  • Reviewer: Acts as the reviewer and accesses the employee's review section.

Setting Admin Access for the Manager

Define Admin Access Scope

  • In the manager's Directory, select Permissions.
  • Determine which system areas the manager should have admin access to, including Time On, Time Off, Reports, HRDocs, the Directory, and CPD.
  • For Subordinates and Selected Employees Only: Limits admin access to direct reports and selected employees.
  • For Selected Offices and Selected Employees Only: Extends admin access to designated offices and selected employees, including direct reports.
