Managing Reviews in HRLocker: A Comprehensive Guide

HRLocker has introduced an enhanced Reviews feature, offering greater flexibility and customization. You can now create multiple review templates and assign them to specific offices for a more tailored approach to your reviews process.

Overview:

Admin View:

  • Admins have visibility of all employees with reviews enabled.
  • They can schedule reviews for employees, even if they are not the designated reviewers.
  • Both the reviewer and the employee receive an email notification when a review is scheduled.

Manager View:

  • Managers see only the employees they are designated as reviewers for.
  • There is dashboard displaying annual leave, sick leave, CPD, salary, and bonus information for each employee.
  • Incomplete reviews are flagged with a warning icon

Scheduling a Review:

  • Select Employee:

    • Choose the employee you want to schedule a review with.
  • Set Date, Time, and Duration:

    • Define the review details, including date, time, and duration.
  • Choose Template:

    • Select a template from the Review Type dropdown.
    • Templates published to the employee's office are available for assignment.
  • Email Notification:

    • Scheduling a review triggers an automatic email to the employee, prompting them to accept the review.
    • The email includes an iCal link for calendar integration.
  • Accepting a Review:

    • Once the employee accepts the review, both parties receive an email confirmation.
    • If the date/time doesn't suit, there is an option to reschedule the review.
  1. Employee-Initiated Reviews:

    • Employees can schedule their own reviews, sending an email to their manager for acceptance or rescheduling.

Review Timeline:

  • Scheduled reviews appear in the employee's review timeline.
  • Click on a review to view details.
  • Different colors indicate the status of each review (legend available).

Conducting the Review:

  1. Accepting the Review:

    • The review must be accepted before completion.
    • The "Accept" button is for the scheduled individual.
  2. Filling Relevant Fields:

    • Both employees and reviewers fill in applicable fields.
  3. Document Upload:

    • Relevant documents can be uploaded if necessary.
  4. Prompting Completion:

    • Admins can prompt employees and reviewers to complete their respective sections.

    • Both employees and managers can click "Share" to notify the other of saved changes.

  1. Completing the Review:

    • The reviewer clicks "Complete" first, moving the review to "Awaiting Feedback."
    • Once the review is in Awaiting Feedback, the employee can click "Complete."
    • No further edits are allowed.
    • Admins can mark a review as complete without individual completion.

    Deleting and Archiving Reviews:

    Deleting Reviews:

    • Only Admins can delete incomplete reviews permanently.
    • A review is incomplete until the employee completes their feedback.

    Archiving Reviews:

    • Managers can archive reviews at any stage.
    • Archived reviews are visible to Admins and reviewers but don't appear on the employee timeline.
    • Archived reviews can be un-archived.

    Note: Deleting a review is permanent, and archived reviews offer flexibility for record-keeping without cluttering the active timeline.
